Dudley College had to store and manage a massive "paper mountain" each year. Key documents were being lost through the internal post on route for approval. There was only a paper trail for auditing, which was challenging if the original documents could not be found or staff could not access them via a computer.
Netcall’s Electronic Document Records Management System (EDRMS)
was chosen to provide a bespoke system that brings together all the
captured data and information across the organisation. Bespoke electronic
forms were introduced as well as workflows, all part of Netcall’s Business Process Management (BPM) capability.
By converting paper to digital and having all the data in one place, staff have easy access to information and processes are simpler, while maintaining high levels of security. There’s more ownership for procedures. Cost savings based on reductions in print and copy volumes are significant. Archiving costs have been totally eliminated.
